Planning an Event
This is a draft document to help members and the Events subcommittee plan events (big and small).
- For "ComETS Sponsored Events" these steps are required (Steering Committee Liaison)
- For member-organized events, these steps are suggested but not required
Before the event
__ Start a page at comets.wisc.edu for use during the event, include the following for social tagging...
__ Invite appropriate collaborators.
__ Choose a date. Check campus calendar, and the academic calendar of religious events for possible conflicts.
__ Draft a "save the date" message (include a link to the page and follow the template (for official events)) and send to the subcommittee for review
__ Send a "save the date" message to ComETS members via the list, include a link to the page and follow the template (for official events). To have the message sent "from ComETS," forward it to our esteemed assistant.
__ Reserve a room.
__ Things to consider: presenters, multimedia or conferencing, food...
__ If registration is desired, contact OHRD (better yet, fill out the form) or add an event page and enable the "Signup" function (enable by expanding on event page)
__ Share the comets.wisc.edu page with all collaborators. Confirm all participants.
__ Send the finalized program details to the ComETS list (using the template)
__ Consult this template for the suggested event flow the Master or Ceremonies (MC)
__ Send reminder to the list one week before and one day before the event.
__ Prepare presentation, handouts, technology for sharing or followup
At the event
__ Double check the MC template
__ Bring paper for a check-in sheet (usually includes: name, department, and e-mail for new members), also do a head count
__ Bring handouts (if any)
After the event
__ Add attendance on the website
__ Upload presenter materials and/or add session notes to the website
__ Send thank-you letters to presenters and facility coordinators, using this template (for official ComETS events).
__ Report back to the Steering Committee regarding attendance, donors, budget.
